Subject: GREYSTONE CASTLE SPORTING CLUB CANCELLATION POLICY
A. Background: Great care and preparation goes into every reservation at Greystone Castle
Sporting Club. Reschedules, Cancellations and "no-shows" result in over-staffing and
unnecessary expenses. While Greystone Castle Sporting Club operates year-round, we are
primarily a seasonal business with limited days to schedule our outdoor activities.
Additionally, the lodging, dining and activity capacities are limited. We do not over-book, so
changes in dates or reservation guest numbers, cancellations and “no shows” result in lost
opportunity for Greystone Castle and other guests. The below policy is for confirmed
reservations, for which a deposit has been made.
B. Greystone Castle Cancellation Policy:
1. Once a reservation is confirmed and held with a deposit, the deposit is non-refundable.
2. If only a portion of the reservation is cancelled but everything else scheduled remains the same, the deposit for the cancelled portion of the reservation will be forfeited.
3. If activities are changed/reduced by the customer during their stay, due to unforeseen circumstances, any refund for the reduced activities must be approved by the General Manager.
The following minimal charges will apply:
a. Upland bird hunts reduced prior to setting birds: 50% of hunt.
b. Upland bird hunts reduced after birds are set: 100% of hunt.
c. Mallard Hunts prior to departure: 50% of hunt.
d. European Pheasant Shoot: 50% of guns reduced if birds are reduced; if number of thrown birds remains the same, there is no reduction in fees.
e. Hourly events (e.g. shooting range, SC instruction): 1 hour charge.
f. Fishing trip: 50% of trip.
g. Ranch Tour: 50% of trucks reduced.
4. Greystone Castle reserves the right to cancel, postpone, or substitute an alternate activity if weather conditions prevent the delivery of the specific services reserved. Appropriate adjustments will be made to the reservation costs.
C. Rescheduling Policy:
1. The date for the rescheduled reservation must be WITHIN ONE YEAR OF THE ORIGINAL RESERVATION DATE and is subject to availability. The remaining deposit balance (after fees are imposed) will be applied to the rescheduled reservation; however, the reservation price is subject to change with any rate adjustments that occur in the interim time period. If the reservation is not rescheduled within one year, any remaining deposit balance will be forfeited.
2. Rescheduling fees.
a. 91 days or longer from the original arrival date: 10% of reservation (20% of deposit)
b. 31-90 days from the original arrival date: 25% of reservation total (50% of deposit).
c. 30 days or less from original arrival date: The entire deposit will be forfeited and treated the same as a cancelation.
